Learn TrainerSuite
Understand it once. Trust it after that.
Short guides to how TrainerSuite turns your calendar into trustworthy business records. Start anywhere; every page goes one level deeper.
How TrainerSuite works
Follow one real session start to finish: a calendar event becomes a Pending review, you confirm the outcome and how to charge, and TrainerSuite records what it means.
Go deeperCalendar sync, explained
What TrainerSuite reads from your connected calendar, what it never changes, how sync timing works, and how clients can subscribe to their own schedule.
Go deeperThe trainer calendar
Why calendar first session tracking is different from using a calendar alone: keep one primary calendar while your training events become business records you can trust.
Go deeperPackages and session credits
A package is a bundle of session credits sold at a price. TrainerSuite keeps the full trail of purchases and charged sessions, so every balance is the sum of a trail you can trace.
Go deeperPersonal trainer software, compared
Where TrainerSuite fits for independent coaches who sell packages, track real sessions, manage credits, and want to move beyond spreadsheets.
Go deeperClient management
Every client gets a profile with session history, credit balance, and payment context. Clients can also get portal access to their own schedule, but only if you invite them.
Go deeperThe essentials, in brief
Quick definitions for the ideas you will meet everywhere in TrainerSuite.
- Session types
- A session type is a service or pricing bucket you sell, like Personal Training or Virtual Training. Each one can carry a default length and rate so scheduling starts pre-filled. Create separate types only when the rate, duration, or credit tracking differs.
- Where you train
- Sessions happen at a gym or facility you add once, at a client's saved home address, or online with no address at all. You can use any mix, and you never create a separate location per client.
- Gym fees
- Some facilities charge trainers to train there. TrainerSuite tracks that cost per location, as a flat amount per session, a percentage, or monthly rent, so estimated gym expenses show up in your numbers. Fees never change what your client pays.
- Session statuses and charging
- Every session ends in a status. Completed, No Show, and Late Cancel are chargeable by default; Cancelled is not. Chargeable outcomes can use a session credit or record an amount owed, and no-charge outcomes never consume a credit. You can rename statuses or add your own, and each one shows its charge behavior plainly.
- Past sessions you can log anytime
- Moving an existing business in? Set a client's starting balance from your old records. Sessions used before the move are already counted in that balance, and you can log when and where they happened anytime, with no deadline. Balances are correct either way.
Founding trainer access
Ready to run your business on it?
TrainerSuite is opening carefully with independent trainers. Founding access is selective while onboarding and migration stay hands-on.
